The personal data that we collect in addition to that which you actively give us when contacting us may include your  email address, IP address (the number that uniquely identifies a specific computer), Facebook username. We collected your personal data from you contacted us in relation to one of our products or services. We always ensure that we have a lawful basis for processing the personal data that we collect. In this case the lawful basis for processing is to perform the contract / purchase terms and conditions between us and you in order to fulfil the order(s) that you have placed with us.

How and when we use your personal data

We’re committed to using your personal data responsibly and lawfully. Here’s what we do with your personal data:

 

  • Use it to fulfil orders you’ve placed with us (examples are bus passes and private hire)
  • Use it to ensure we deal with your enquiries or comments about our services quickly and efficiently. (examples of these include complaints, insurance issues and lost property enquiries)

Any electronic data we hold is stored within the UK on our own servers. Please note we have no control as to what data third parties (e.g. Facebook, Twitter) hold or retain.

To help us to maintain the accuracy of the personal data that we hold please let us know if we hold out of date or inaccurate information about you.

Sharing your personal data

There are only a few occasions where we will share your personal data with a third party. They are:

  • Where we’re required to disclose it by law – to government bodies for example.
  • Between ourselves – for example to deal with a query that you may have which may involve our Customer Services team, sales order processing team, and depot operations teams.
  • With our professional advisers for example our insurers, in order to complete what you have asked us to do.
  • Where any purchase (e.g. a bus pass) is made by a third party for you

Retention of personal data

We use accepted standards of technology and security to protect your personal data. Our ‘retention policy’ as to the types of data we keep and the length of time we keep it is as follows:

Data relating to Bus Pass orders, Private Hire and Customer Comments – Customer contact details including postal address, email address, contact phone numbers, date of birth, IP Address, photographs for ID purposes where relevant will be kept for two years from the date of the last contact

Data relating to insurance accidents and any criminal activity  – Customer contact details including postal address, email address, contact phone numbers, date of birth, IP Address, photographs for ID purposes where relevant, vehicle details (where relevant), any CCTV and data to meet legal requirements and keep records for any future queries we will retain information on the specific accident or incident indefinitely

How you can access your personal data

We’ll ask you for copies of two types of approved identity in order to process your request (such as a passport and driving licence).
